Communications Department for the Victorian Conference (and its Departments) Standard Collection Notice

The Conference¹ collects personal information² about members and attendees including their children who attend local church services and events and Conference-run events.  This will be done during their engagement with the Church³ and any church they may move to in the future. 

The primary purpose of collecting this personal information by the Communications Department of the Victorian Conference (and its departments) is to share spiritual encouragement and news, through documenting religious services, related activities and events and for promotional purposes.  

News may cover information such as members, attendees and their children’s achievements and religious highpoints or still and video capture of events such as camps, service projects, rallies and other meetings.  The information is published in newsletters and magazines, on websites and in social media and in various promotional material.

 Where images and footage are supplied to the Communications Department of the Victorian Conference (or its departments) by local churches, the onus is on the local church to comply with its local church’s Privacy Policy in submitting this information to the Communications Department, or the other departments.   

Video recordings include personal testimonies, footage of events and recording of sermons, presentations and music, and may include some of the congregation/audience.  Events may also be livestreamed and made publically available through website and social media and later published online.

All personal information collected is edited, processed and used in a professional and respectful manner and will not misrepresent its subjects or depict them in an unflattering or inappropriate light.

Notification and permission to collect this personal information takes place as per Collection of Digital Images Policy.

Some of the information collected may be used to satisfy the church’s legal obligations, particularly to enable the Church to discharge its duty of care to attendees including the appropriate handling of Child Protection matters.  To this end the Communications Department may disclose sensitive information to AdSAFE, the Church’s child protection service in the process of handling a Child Protection matter. 

The Communications Department of the Victorian Conference (and its departments) may from time to time disclose sensitive information to other local conferences, the Australian Union Conference, the South Pacific Division or Adventist Media for the purpose of promotional material, sharing news and video presentations.

The Communications Department of the Victorian Conference (and its departments) may store personal information in the ‘cloud’ which may mean that it resides on servers which are situated outside Australia. 

The Conference’s Privacy Policy sets out how members, attendees and their children may seek access to personal information collected about them.  However, there will be occasions when access is denied.  Such occasions would include where access would have an unreasonable impact on the privacy of others, where access may result in a breach of the Church’s duty of care to a child.

The Conference’s Privacy Policy also sets out how you may complain about a breach of privacy and how the church will deal with such a complaint.

The Conference may from time to time engage in marketing and fundraising activities to promote special services, events and charitable service events.  Information received from you may be used and may also be disclosed to organisations that assist in the fundraising activities solely for that purpose.  Your personal information will not be disclosed to third parties for their own marketing purposes without your consent.

²Personal information refers to digital images (photographs and video recordings), names and stories involving the individuals in the digital images.
